General Booking Terms & Conditions for Groups

 

The following terms and conditions serve as a general outline for groups considering booking at The Lodge 30A. Actual terms will be specified in the signed contract. The Lodge 30A reserves the right to modify these terms.  By proceeding with this Request for Proposal, you acknowledge that the final terms and conditions will be as specified in the signed contract.

GENERAL TERMS: Reservations received after the agreed upon cutoff date are subject to availability and room type at the prevailing resort rates. Cancellation of reservations or early departures prior to arrival are subject to billing on all nights.

Any reservation received after the cutoff date will be accepted on a space and/or rate availability basis only.  Additional room requests will be based on guest room and rate availability, should the Group Room Block be realized prior to the cutoff date.

In order to confirm individual reservations, or pre/post stay extensions that Organization is not responsible for, we will require credit card information that will be retained for settlement of no-shows or early check-out in the amount of one (1) night plus tax in the event that the reservation is not cancelled within 48 hours prior arrival.  

ROOM BLOCK INCREASES: Adjustments to Contracted Room Block must be requested in writing to the Sales Department and are subject to room and rate availability.

Special Concessions can be made on a case by case basis and written into a contract. 

ROOM BLOCK ATTRITION: If you have contracted for accommodations. All attrition will be calculated on a cumulative basis as outlined in the guest room block, and any pre/post room nights will be added.  At any time prior to your cut-off date, 20% of the contracted block may be released by the organization without penalty. 

Should The Lodge 30A be fully sold on any of the contracted nights we will not charge for the number of rooms resold that night. You are responsible for the unsold rooms for any given night contracted.

Should you fail to reduce the room block, as outlined, attrition will be calculated on the cumulative Guest Room Commitment at thirty (30) days prior to arrival date. After an agreed upon date, the right to exercise any portion of the attrition option is no longer applicable. Guestrooms resold at or above the group rate will be credited towards any attrition penalty.

DEPOSITS: An initial, non-refundable, deposit equal to 25% of the estimated guestroom, banquet food and beverage, service charge, meeting room rental revenues and all taxes is due along with the signed contract.

Ninety (90) days prior to Arrival Date: 25% of the estimated guestroom revenue, banquet food and beverage, service charge, meeting room rental revenue and all taxes is due.  

Sixty (60) days prior to Arrival Date: 25% of the estimated guestroom revenue, banquet food and beverage, service charge, meeting room rental revenue and all taxes is due.

Thirty (30) days prior to Arrival Date: The remaining 25% of the estimated guestroom revenue, banquet food and beverage, service charge, meeting room rental revenue and all taxes is due.
